Common Shipping Procedures

Listed below are some common scenarios encountered while using the Shipping Screen.

Ship A Package:

 

  1. Click Ship To Lookup to select an existing address or create a new address record

  2. With the item on the scale, ReSource will display the scale weight, or stop so you can type the weight manually

  3. You will enter the outside dimensions of the package

  4. Select the desired carrier and shipping service (i.e. UPS Ground, FedEx Priority Ltr r, , etc.)

  5. Add any special services by clicking on the Specials Button and making these selections.

  6. Click on Process to process the package and get a shipping label.

  7. The shipping charges will then return to the Point Of Sale for you to complete the sale.

 

 

Void A Package From The Point Of Sale

 

If you Void from the Point of Sale screen, you have accomplished two tasks

 

  • You have voided the shipment from the manifest

  • You have voided the transaction so the revenue for the shipment is removed

 

Just like you would void any other transaction from the POS, you use the Void button to completely remove the sale.  Click Void and you will get a message from the system telling you that the void was acknowledged by the carrier integration program.

 

IMPORTANT: None of the Package Void procedures shown here void packages or labels produced by Endicia software (DAZzle, Printable Postage, Quick Mail).  USPS labels produced have to be voided as a second step, and may not be voidable at all.  Contact ReSource Customer Service for more information.

 

 

 

Void One Package From A Transaction At POS Using the Del Line Button

 

Sometimes a customer changes his mind, longer wanting a Shipment entered as part of the sale (For instance, they want to correct the address). To remove one shipment from the sale in progress, click on the line to select it, then click on the Del Line button.

 

  1. At the POS, highlight the LAST LINE of the package you wish to Void

  2. Click the Del Line Button

  3. Click OK to the confirmation message

 

 

For shipping transactions: Be sure to click the last line of a multi-line item description, or an error message will result.

 

 

This procedure should never be used to clear all items from a sale in progress as it will not clear all the information.  If you need to clear all item on the sales grid, use the Void Button

 

Void A Package From The Shipping Screen

 

  1. Click Reporting, Package Lookup

  2. Find the package you wish to void.

  3. Double click the package record

  4. Click the Void/ Unvoid Button in the lower left.

  5. You will receive a similar acknowledgement of the void as is shown above

  6. This package will now show Voided Current Manifest.

 

IMPORTANT: Using this procedure only voids the package, it does not void the sale nor remove the revenue from reports.  You need to perform a Refund With Receipt as an additional step.

 

 

 

Print A Generic Shipping Label Without Processing A Package

 

  1. At the Shipping screen, click on FILE |City Search Address Label.

  2. Click the Address Label button.

  3. Enter the ZIP code (or the 2-letter state ID if the zip code is unknown) in the appropriate box on the form.  As you enter data the program will scroll down or you can use the direction arrows to scroll down the list.

  4. Once you have entered or selected from the list the desired zip code, click on the Address Label button.

  5. Complete the address entry.

  6. Enter the number of  address labels desired.

  7. Click on the Print Address Label button.

 

 

 

 

Close Your Carrier Manifests

 

Closing your Carrier Manifests each day reconciles your shipments , and transmits shipment information to the carrier .  For more information, review the Manifest Close topic.

Find The Possible ZIP Codes & Other Information For A Destination

 

  1. At the Shipping screen, click on FILE | City Search Address Label.

  2. In City Name, type the of the city, or the State, or the Area Code

  3. Hit Enter through the remaining fields

  4. The possible ZIP e ranges for the information entered will be listed

 

In the example shown at left entering a ZIP code of 12345 yields information on ZIP code ranges for Schenectady, NY

 

 

 

Add Special Services To A Shipment

  1. When processing a package after selecting your service level, the Special form will either automatically appear or will need to be selected by clicking on the Special button in the bottom row of buttons displayed and prior to pressing Enter to access the Reference #.

  2. A button for each available special service will be displayed.  Click on the button for the desired special service and enter the requested information or click on the appropriate box.

  3. When you have completed the entry of applicable specials, click on the OK button.

Processing A Multi-Box Shipment To The Same Address

 

 

FedEx:  Currently FedEx Web Services, the process by which shipments are automated in your software, does not have a provision for aggregating multiple shipments to the same destination.  You must process each box individually.

 

UPS: ReSource integration does not automate processing multiple box shipments to a single destination.  However, UPS Worldship does consolidate addresses to the same shipper as part of their manifest closing processes.  Contact UPS Technical Support for more information regarding consolidation of shipments for hundred weight discount.

 

 

 

Lookup Information On A Past Shipment

  1. At the Menu Bar, click on Reporting, Package Lookup.

  2. The Package Lookup form will display.  The data can be sorted by any of the buttoned fields at the top of the form by click on the desired button.

  3. Once you have sorted the data, use the arrows on the right hand side of the form to scroll through the data.

  4. Once you have found the package you are looking for, click on that line to select the record.

  5. To view detail information for the selected package, click on the Info button.

  6. This form shows the detail stored for this package.  It also allows you access to the functions at the bottom of the form by clicking on the button.  

    1. FYI – Reprint Label - You can only reprint labels generated in ReSource software.  UPS Labels are reprinted from within Worldship.

    2. FYI – Track - This function is not available for UPS packages.  The Track function is limited to FedEx at this time.

  7. Click on the Done button to exit this form.

 

 

 

Add Saturday Pickup/Saturday Delivery

 

Saturday Pickup: Should you need to have a shipment picked up and reported to the carrier on a Saturday, you must first have a Saturday Pickup scheduled with the carrier.  If true, then you add the Saturday Pickup special to the shipment during processing.

 

Saturday Delivery:  This is also a special to be added during processing.  This special will only appear for those services that the carrier has published Saturday Delivery being an option.  Typically, the Saturday Delivery special will not appear on the Specials screen Sun-Wed of each week, to keep it from being needlessly added to a shipment (i.e. picking NDA on a Tuesday).

 

 

 

Shipping With Preferred Rates (F4 or def_dom Rates)

 

You can create and maintain a separate set of retail pricing for your preferred customers.  These rates can be accessed from the shipping screen by pressing the F4 key.  While the functionality is there, there are arguments pro and con for maintaining a preferred rate structure.
