The Close Manifest procedure should be done for all carriers at the time the driver picks up packages from your store for that day.
Close manifest does two functions. In the case of carrier integration it is the step that closes the shipping day for billing purposes. It will send special information not designated on the label to the carrier, insuring that services your customer has paid for are known by the carrier. The second function is it reconciles the shipments for that day and also sets the shipment day in the ReSource software. This allows you to know what day the package actual entered the carrier package stream as well as changes the ETA on the shipping screen so it no longer includes today in its calculation.
The Close Manifest function should not be run from the client system. Use this procedure for stand alone systems or on the server for networked systems. After closing the manifest, you will need to access the View Manifest function on the Client to reset the ETA to the correct day.
It is our recommendation that you close one manifest at a time
At the Menu Bar, click on File, Close Manifest
The Close Manifest form will be displayed
Click the checkbox(s) to the left of the Carrier manifest(s) you wish to close.
The Choose Pickup Date box will display. The system will calculate based on the carrier information and the system date what it believes the next pickup date to be. Click on the Yes button if the displayed date is correct. If not, click on the No button and enter the date for your next pickup by this carrier using the entry format displayed.
The cursor will be positioned in the Reference Number box. Enter the date you are closing the manifest using six numbers (no spaces or dashes
Click on the Close Selected Manifest(s) button
Shipping records in the ReSource program will be closed. Package Counts will then show 0 to start the next day.
If you are closing the UPS manifest and are using the integration to WorldShip, the program will automatically run the End of Day procedure in WorldShip.
FedEx billing information will be transmitted to FedEx at manifest close, along with any package voids
Shipping Reports run from Manifest Close To Manifest Close, versus a 24-hour reporting cycle
Sometimes it is necessary to change the pickup date, such as the Christmas season where you may have multiple pickups on the same day. Check the Carrier you wish to change the pickup date, then click Yes, then tab to the Pickup Date fields and set the new date.
Manifest Pickup Date is automatically advanced to the next business day when you close your manifest
Check these check boxes prior to clicking Close Manifest to automatically print a Shipping Summary or Shipping Detail report. Useful for Carriers who do not chose to print their own reports, or if their reports do not meet your needs. The reports include a driver signature line should you require one.
These reports can also include Drop Off packages if you wish. See also the Drop Offs topic.
Manifest for carriers with services that are trackable based on date of shipment, should be closed at the time of pickup. If the carrier or your store does not offer trackable service by that carrier, you can close the manifest as part of the end of day procedure.
