ReSource PartnerÔ Work Environment

 

This is the Main Menu, the first thing you will see when you start the ReSource software. From here, you can get anywhere in the program, and it is your primary working area for doing setup, entering Inventory, shipping packages and helping customers. The Main Menu is divided into two sections: the Menu Bar, which is the small list of words across the very top, and the Tool Bar, which is the row of pictures below it.

 

Program Menu Bar

 

On the Menu Bar, there are a variety of functions and drop-down menus. The Menu Bar also provides keyboard access to many of the system functions.  To access an item on the Menu Bar by keyboard, hold down the ALT button on your keyboard, and type the hot key (the underlined letter in the menu name).  This causes the menu to drop-down.  

 

FILE Menu

 

The File menu allows keyboard access to the most frequent functions in the point of sale such as Clock In/Out and Open/Close Drawer.  It is also the main point at which you will configure your Point of Sale Setup and access the Rating Setup screen.

 

Clock In/Out:  Employees log in and off the system using this menu.

 

Open Drawer/Close Drawer: is where you begin and end each day by setting the opening cash amounts and reconciling cash at closing.

 

Start POS: opens the POS to begin transactions.

 

Drawer Add: records additional currency and coinage added to the drawer during the course of the day.

 

No Sale: For systems with an integrated cash drawer, this will open the cash drawer without a sale being completed.

 

Program Setup: configures many of your POS preferences, as well as security and employees

 

Printer Setup: defines the POS Receipt printer and the report printer for POS reports

 

Control Panel:  Opens utilities such as Data Export.

 

Exit: Closes the program

 

 

 

DATABASE Menu

 

This is where you manage the primary program databases; Customer, Inventory, Vendor, and Coupon Setup.

ACTIVITY Menu

 

The Activities menu allows keyboard access to the less commonly used Point Of Sale functions.

 

Prepare Purchase Orders:  Opens the Purchase Orders module to begin the creation of PO's.

 

Receive Stock: Opens the Purchase Orders module to post received inventory stock against PO's

 

Paid Out: Used to track pay outs from existing cash in the cash drawer.*

 

Account Payment:  Opens the Account Payment screen*

 

Account Adjustment: Opens the Account Adjustment screen to process adjustments to charge accounts

 

Refunds & Returns: Opens the Refunds screen.*

 

Manage eStatements:  Opens the eStatements screen.

 

 

 

*menu item also appears as a button on the POS.

UTILITY Menu

 

Edit Time and Attendance: Allows the user to change a Clock In or Clock Out time to correct an error in the entry process.

 

Receipt Lookup: To view and print any receipt.  You can sort this list by clicking on any of the grey column header buttons at the top.

 

Deposit Lookup: To view current deposits and layaways that are outstanding.

 

Clock In/Clock Out Lookup: Use to review Employee work periods.

 

Open/Close Lookup: To view the history of Open/Close procedures, and to reprint a close drawer Z-Tape by machine.  Please review the date range limitations discussed above in Receipt Lookup.  Double click a specific receipt to view and print.

 

Z-Tape by Day: To view or print z-tape data minus cash drawer reconciliation by calendar date, across all machines in your store.

 

Category Lookup: To view and select current Sales Categories. Opens the same function as clicking on the Category Panel button at the POS screen. Note: this will only work from this menu when the POS screen is open.

 

Old Customer Export: Which is the export function that was in Marketing before the Export Tab in Data Control was available.  

 

Web Links: This brings up the Web Links screen giving you a variety of industry links commonly used by ReSource users.

 

Retail Transfer: Opens the Retail Transfer Utility

 

Recalculate All AR - Forces a global recalculation of customer balances.  Used when advised by ReSource Customer Service.

 

Check Web For Updates: Manually checks to see if there are any new program updates available.  Using this menu is not necessary if Server Checks Web For POS Updates is enabled on Store Information - General Tab (recommended).  See also ReSource Updates.

 

Check For New Fuel Surcharges:  Manually checks to see if there are any new fuel surcharge rate updates available.  Using this menu is not necessary if Server Checks Web For Fuel Surcharge Updates is enabled on Store Information - General Tab (recommended).  See also Fuel Surcharge Updates.

 

Post To QuickBooks:  Transfers daily sales via ReSource/Quickbooks integration.  Must be setup prior to use.  For more information, see the QuickBooks Integration topic.

REPORTS Menu

 

Takes you to the Reports module where you manage all of the reports in the ReSource system.

 

 

SHIP/MAIL Menu

 

The Shipping menu allows easy access to the execution of the shipping and mailbox manager modules. Activity done in Shipping or Mailbox access from this menu will not flow to back the POS screen.  

 

Entering the shipping screen via this menu places the system in Manifest Only mode.  You will receive a warning prior to working in Manifest Only mode.  You will also see Manifest Only above the ZIP code box on the shipping screen.

 

Using this menu also take you to the Drop Off system for input of ARS/ASD packages.

 

 

MENU BAR Menu

 

Toggles the Tool Bar (shown above) on and off.

 

 

 

CHANGE Menu

 

This menu allows you to quickly view the totals breakdown of the previous receipt, as well as reprint that receipt.

 

Frequently sale data must be consolidated for Reporting or Lookup functions.  When this occurs, all amounts for the last sale are removed.  If you click on the Reprint# option, a message will display directing you to Receipt Lookup to reprint the receipt.

 

 

 

HELP | ABOUT Menu

 

Opens up the ReSource Help system.  This menu also provides you with information regarding your software license with ReSource and version information for the software loaded on your system and identified data path.

Tool Bar Icons

The Tool Bar provides you a quick link to commonly used program areas and functions.  You can turn the Tool Bar on/off by clicking on the Menu Bar menu item

 

Here is a listing of what each Tool Bar button does

 

Clock In/Clock Out:  

This icon allows the employee to log in and out daily, independent of the point of sale program.  

 

Bank Open/Close:

Here the employee reports the amount of money in the drawer at the beginning of the day.   See the Open Drawer/Close Drawer topic for more information

Start POS:

Opens the Point Of Sale screen.   Esc key closes the POS

 

Bank Addition:

Use this button to add additional funds to the currently open bank on this machine during the work day

 

Bank Close:

Here the you report the amount of ending cash at the end of the day.  See the Open Drawer/Close Drawer topic.

Pay Out:

This feature will account for cash leaving the till in a manner other than through a sale or refund.

 

Customer Account Payment:

Some stores allow customers to charge purchases and services through an in-store charge.  This function will apply payments to the customer’s account.  It will track purchases made, provide aging status, and all other general accounts receivable functions.

  

Refunds And Returns:

This feature will allow the store manager and clerk to process a refund with or without a receipt.  Its operation is simple and designed to take care of the customer in a fast and efficient manner.  

Customer Database:

This icon will access the customer database functions.  Here you can add, edit, or adjust account information.

 

Inventory Database:

This icon is quick and easy access to inventory information.  Here you have the ability to add, edit, and change stock information.  

 

Prepare Purchase Orders:

In this section items low in stock can be called up and a corresponding purchase order prepared.

 

Receive Inventory:

This feature accounts for merchandise received against the Purchase Order issued.  The system will list back orders or partial deliveries.  

Shipping:

The Shipping menu allows easy access to the execution of the shipping and mailbox manager modules. Activity done in Shipping or Mailbox access from this menu will not flow to the POS screen (Manifest Only Mode).

Mailbox Manager:

This buttons loads the Mailbox Manager system.

 

Mailbox Payments:

This icon allows quick and easy payment to a mail box account.  

 

Rating Setup:

This buttons opens the Rating Setup screen for you to maintain your retail shipping rates.

 

Refresh Databases:

This button is used to resolved "database-locked" and similar errors.  Normally not used except at the direction of ReSource Customer Service.
