Shown is the email setup screen. This screen is accessed by clicking FILE | Program Setup, Store Information, Advanced System Options tab or by clicking FILE | Shipping Setup . You do not have to setup your email preferences twice; setup your email preferences at either screen.
There are two supported email setup types
Emailing using Microsoft Outlook or Outlook Express
Emailing using certain web-based mail programs such as GMail
Each of these types are described below.
1. On each machine from which you wish to send email notices, a local copy of Microsoft Outlook must be installed. Designed to work with Outlook 2000 or higher. Exchange or shared Outlook installations are unsupported.
2. Microsoft Outlook must be fully configured on each machine so it can independently send and receive email messages.
3. Click on FILE| Program Setup| Shipping Setup. At the bottom of the address tab, fill in your account ID and password.
For example, if your email address is techsupport@resourcesoftware.com, then your ID would be techsupport.
The password is the password your Internet provider has set for you to access your account
Click Save and Done.
4. Click FILE | Program Setup, Store Information. Click on Advanced System Options. Set the format of the email message sent to your customers same as described below.
5. Setup each customers’ email preferences in their individual customer records. This needs to be done for each customer
This application type is designed to allow you to send email from the program using an SMTP E-mail server, including some web-based E-mail programs such as Gmail. Using this option eliminates the need to have an E-mail client program (Ex. Outlook Express) installed on the computer. Configuration varies depending on your E-mail provider.
Generally speaking the same information needed to configure an E-mail client such as Outlook Express to communicate with your E-mail server is needed. Please note that with this E-mail application type, even if you do have an E-mail client installed on the computer, sent items will not appear in the local Sent items folder (unless this is setup to synchronize Sent folders with the E-mail server, varies by E-mail client).
Instructions for using Gmail with ReSource follow below:
In ReSource, the program has to be configured to use the Other (Simple SMTP) Email Client option.
Set Logon Name and Logon Password (these are the same as when logging in through the web)
Check ”Other (Simple SMTP)” under E-mail Application
In SMTP Setup:
SMTP Host should be: smtp.gmail.com (see below)
Use Authentication should be checked
SMTP Port should be 587
Windows 7 by default does not have email components installed. Windows 7 doesn’t know what an email is without some help. Windows Live Mail is free, well-supported in Windows 7, and that will work for this purpose. You must first install Windows Live, Mozilla Thunderbird etc onto your Windows 7 system so as to install the necessary Windows components. You only have to install these programs but do not have to configure them.
There are options to notify shipping recipients. These are discussed further on the Shipping Setup - Email tab topic.
Some email features below are supported for only certain email application types, so you may not see all features depending on the email type selected.
Send BCC Email
There is a new option to send a BCC (Blind Carbon Copy) email whenever you send one of your customers an email message from inside the program. This option is off by default. With this option checked, if no alternate email address is specified, your Shipping Setup, Address, E-Mail Address is used. Otherwise the specified email address is used.
Mail Formats
Generally leave this at defaults unless you are running into an issue where the customer is receiving email display issues. If that is the case for you, move down one option and try again. If that will not work, then move to the Internal HTML. The information will be clearly display on the screen. It may not print well depending on the Web Browser that your customer is using. If you need to move to Internal HTML, you must enter the information requested in these fields at the bottom of the Address Tab as they are configured in Outlook.
Prompt For Subject Line
With this option checked, you will be prompted to provide a subject line for each email message sent
Save Emails To Outlooks Draft Folder
With this option checked, emails will be generated, but not sent automatically. You will be able to review each email in your Outlook Drafts folder prior to clicking Send.
Preview Emails Before Sending
Generates a preview of each message prior to sending. This allows you to make any needed changes.
Handle Security Messages Automatically
This feature automates certain Outlook address security processes. This option needs to remain checked unless otherwise directed by ReSource Customer Service.
Test Email Setup Button
Allows you to generate a test message and confirm the correct setup of email features.
