Package Drop Off Entry

This topic discusses Package Drop-Offs where you are providing an alternative Drop Box service for customers with shipments.  For instances where you are receiving deliveries for customers on their behalf, please review the Package Receiving topic

 

The Drop Off module allows you to track packages dropped off by customers, or packages received for customers.  It is divided into two sections; Carrier Drop Off and Carrier Receiving.  You can access the Drop Off Screen the following ways

 

 

 

Drop-Off Concepts

Providing Drop Off service to your customers brings traffic into the store, provides alternatives for your customers, and brings a small amount of revenue into your store.    The purpose of recording Drop-Offs within ReSource is to record these packages to confirm you are being reimbursed.   

UPS Drop-Offs

There is a function within ReSource to also enter drop offs for all carriers.  For UPS, this is only an internal feature designed to 1) To trigger a receipt for the customer if the store owner so chooses, 2) to generate a report from our system so that the customer can be sure that he is receiving all payments from ReSource.  The later is a cross audit feature only; no data is uploaded to UPS.

 

There is no direct interface or transfer of the data entered into ReSource to the UPS Drop Off page or any other carrier.  You must reenter this information into their system to receive reimbursement.

 

Drop Off Screen

When you open the form you are given the choice of Customer Drop Off or Carrier Receiving

 

Select whether the package you want to track was dropped off by a customer for a carrier to pick up (Customer Drop Off) or whether it was received from a carrier on behalf of a customer (Carrier Receiving).  Most of the screen is the same for either package type, but there are a few options that differ by package type.  This document will first discuss the drop off form, and then the changes for the receiving form.

 

 

No data is displayed initially.  When you open the form there will probably be no data, because the only data that shows upon loading is any drop-offs that were already added on the current day.   

When a choice button (Drop Off or Receiving / Carrier Name / Service Name) is selected, it will be green.  When a button or data entry field is the next in the normal package processing sequence, it will be yellow.  

 

 

Customer Drop Off Date:

 

The recording date for the package.  This should be the date picked up by the carrier for Drop Off packages.  This field defaults to the current date, but you may need to set it ahead for a future manifest date.

 

 

 

Show Packages From:

 

The range of dates to show.  The default is just packages from the current date.  You may change the From date to any date in the past, and the To date up to 10 days in the future (in case of future pickup by the carrier).  You may either type the date in the box or click the arrow next to the box to see a calendar.  You may also select All Dates to quickly see all packages.  

 

 

Tracking Number:

 

The tracking number of the package.  You may use a scanner to fill this field.  If the program can determine the shipper from the tracking number, it will insert the (optional) shipper number into the appropriate field.  The program will attempt to determine the Carrier and Service from the tracking number.  

 

Using A Scanner:  If you use a bar code scanner for package drop offs, click the cursor into this field then scan the package.  ReSource will evaluate the tracking number entered and attempt to define the Carrier and Service.  Once scanned, please confirm the Carrier/Service shown, then click Add.  Repeat this process for multiple drop off packages.

 

Shipper Number:

 

The shipper for this package.  This field is optional.  You may not enter a package where the shipper number is the same as your store’s shipper number; those packages should be entered from the Shipping Screen/Manifest Only screen.

 

 

Reported Column

 

Because UPS requires log on, ReSource is not able to automatically post drop off packages directly to the UPS web site.  The reported check box provides a way for the use to mark what they have logged on the site and what still needs to be reported as they do not always go to the web site after each entry.

 

This column shows whether the carrier has picked up the package.  For DHL and FedEx, the packages are automatically known to the carrier when the carrier picks them up, and this is automatically updated by the Package Drop-Off and Receiving screen based on the package’s manifest date.  For UPS, you must manually report each package using the ”Go to UPS Drop off page” button on this form.  If necessary, you can un-check any package reported as picked up, but DHL and FedEx packages will be re-checked the next time the program loads.

Package Weight (Drop-Off only):

 

Defaults to one pound.  You may change by typing, typing the up/down arrows on the keyboard, or clicking the up/down arrows next to the weight.

 

 

Select Customer Button:

 

Select this to choose an optional customer name of the person who dropped off the package.

 

 

Carrier/Service Buttons:

 

The carrier of the package and the service type.  The service type will show up once a carrier is selected.  If the program cannot determine the Carrier and Service from the tracking number, you may manually choose them with these buttons.  Both Carrier and Service are required for Customer Drop Off packages.

 

 

Next / Previous Buttons:

 

Enable you to scroll through the list of packages one at a time.  The scroll bar on the right of the list will allow you to scroll as well.

 

 

Delete Button:

 

Delete all the highlighted packages.  Permanently deletes all selected packages.  However, you may not delete packages that are marked as having been picked up by the carrier.

 

 

Add Button:

 

Save this package to the database.

 

 

 

Drop Off Reports

There is a Report menu to the Drop Off screen allowing you to print drop off reports without having to exit and go to Reports.

The time period for these reports comes from the dates in the ”Show packages from” box on the Drop Off screen.

 

Drop Off Reports - Manifest Closing

The Close Manifest screen now includes an option to launch the Drop Off report.

 

Akin to printing either of the package reports, check the box next to “Print Drop Off” and when you click Close Manifest, the Drop Off report will launch to the screen. If you print a package report as well as the Drop Off report, the package report will launch first; when you close it, the Drop Off report will launch.

 

The Drop Off report will include packages for the same time period as the manifest(s) you are closing.

 

These reports  includes the driver signature line when printing the Drop Off report for a date range of four days or less (a long weekend).
