What does it do? The Ship To Lookup screen consolidates all of your shipping addresses into one lookup screen. This lookup screen is similar to other lookup screens in PartnerTM , and is very similar to the Customer Lookup screen at the POS .
Shipping addresses displayed are those addresses to which a shipment can be sent; Consignees, Mail-forwarding, Vendors and Customers.
When you click on Ship To Lookup, you will see this screen:
Any of the buttons at the top of this lookup window will resort your search. For example, click on ZIP and it will group the addresses by ZIP .
You can then type the first few numbers of the ZIP to search down to the code for which you are searching. The same is true of name, or City name
Click the column header buttons to presort the list, then type the first few characters under the sort button to speed search down to the address you need. For example, to search for a Los Angeles ZIP code, click on Zip and then type 9-0-0 underneath the button and you will see the search window speed search down to that ZIP range.
To select an address, click on the desired address once to highlight and then either double click or click Use. You will then see the standard Address Entry screen.
You can then proceed with the shipment. |

Click Ship To Lookup, Click New and the Address Entry screen will appear. Fill in the shipping address information.

The normal process for selecting a Shipping Address record is to first select your customer from the Point Of Sale, then click on Ship To Lookup, then either find and existing address, or click New to create a new address record. This way the Customer record and the Shipping record are linked.
EXAMPLE:
Bill Smith is your customer.
Bill Smith has two grandchildren to which he ships to frequently
Select Bill Smith from the POS and then click on Ship To Lookup and then click on New. Fill in one of the grand kids address information. You will notice that at the bottom of the Address Entry field that Bill Smith's name is already filled in Shipped For. When you click on Save Changes, the two addresses will be linked.
Linking addresses in this way speeds up future address searches as is described below.
The Ship To Lookup screen has the option to pre-filter the address list to speed up your searches. These preferences are set via the Shipping Setup, Process Options tab.
Setting these preferences you can have as few or as many addresses displayed as you want
Show All Ship To Addresses: No filtering, you see all of your saved addresses.
Show Only Ship To Addresses For Current Customer: Only show the addresses linked to the Customer Selected at POS and nothing else
Show Ship To Addresses For Current Customer And Unassigned Addresses: show the addresses linked to the Customer Selected at POS and addresses not assigned to any customer.
Of these three, Show Ship To Addresses For Current Customer And Unassigned Addresses is the middle setting that is used by default.
EXAMPLE:
Bill Smith is your customer
Bill Smith has two grandchildren to which he ships frequently
With the system set to Show Only Ship To Addresses For Current Customer, when you click on Ship To Lookup, ONLY his two grandchildren will appear in the list
To remove this filter, click Show All at the bottom of the lookup window.
If no customer is selected at the POS when a Ship To Lookup address record is created, that address record is assigned to No Name. These addresses are used for common return addresses such as QVC, Cabellas, etc. It is best used in conjunction with Ship To Lookup filtering, discussed above.
When Manifest Only mode is selected, all filtering is removed.
You can see that the Shipping Screen is in Manifest Mode only by looking above the ZIP Code entry box.
When you enter the Shipping Screen via the Ship Mail/Shipping menu item (versus the Shipping Button on the POS) you will be asked if you wish to enter Manifest Only mode
As stated above, the Ship To Lookup screen shows all addresses to which something can be shipped.
The vast majority of these addresses will be normal consignee shipping addresses. However, other address types can be displayed in certain situations. These will have a designator flag in front of the customer number. These designators are as follows:
B- Customer address, i.e. a billable address. For customers shipping to themselves. Most versions do not display these to prevent billing information from being accidentally deleted
MF- A mailforwarding address. If this type of address is selected, the shipment costs can be deducted from the Mail-forwarding Deposit. Review the Mail Box Manager topics for further information.
V- A Vendor address utilized via the Purchase Orders functions of the program
If f you select an address from Ship To Lookup, and that address is tied to a particular Customer, the program will ask if you wish to select that Customer. Answer Yes to switch to the Customer the address is tied to, answer No if you wish to continue with the Current Customer selection (or without a Customer selected).
